Method 1: The Gmail app (recommended for IMAP)

Open the Gmail app. Tap your profile picture in the top right corner → Add another account. Choose Other for IMAP, or Exchange and Office 365 for Microsoft 365.

2

IMAP in the Gmail app

Enter your email address and tap Next. Select Personal (IMAP). Enter the password.

Incoming server: The address you received, port 993, SSL Outgoing server: Same address, port 587, STARTTLS

The username is your full email address.

Method 2: The Outlook app (recommended for Microsoft 365)

Download Microsoft Outlook from Google Play. Open the app and tap Add account. Enter your email address — Outlook automatically finds the correct settings for Microsoft 365 and Exchange. Sign in with your password and approve with Authenticator if prompted.

Check that it works

Send a test email from the phone and check that you also receive it. Remember to enable push notifications in the phone's settings so you are notified when new emails arrive.

FAQ

Frequently asked questions

What information do I need to set up email on Android?+
You need to know your email address, password, and the server and port for incoming (IMAP) and outgoing (SMTP) mail. If you use Microsoft 365, the account is set up automatically by simply entering the email address.
Should I choose IMAP or POP3?+
Choose IMAP. Your email then stays on the server and is synchronised across all devices. POP3 downloads the email locally and should only be used in special cases.
Why can I receive but not send email?+
This is almost always due to the SMTP settings. Check that the outgoing server requires authentication, and that the port is 587 with STARTTLS or 465 with SSL.
What do I do if email is not synchronising?+
Check that synchronisation is enabled for the account, that the phone is not in battery saver mode for the mail app, and that the password has not been changed. With Microsoft 365, MFA may require a new approval.
